Founded in 2009, KEYS is a 501(c)(3) nonprofit organization, private-public partnership, dedicated to enhancing access to supportive services for low-income residents in San Bernardino County.  KEYS provides an array of services including case management to assist families and individuals in accessing existing resources and services within the County.



Under the supervision of the Finance Manager, the Metrics Coordinator (MC) will provide data coordination for KEYS. The MC will work in partnership and collaboration with multiple staff members, partner agencies, and entities to provide high quality, person-centric service with a focus on quality assurance, attainment of operational goals and overall service-level performance and monitoring.  The MC will train staff on data processes and provide feedback.



  • Performs data entry into applicable database (HMIS, YARDI, etc) and prepares information and data for designation and other reports; maintains files, schedules, logs, and records; checks and tabulates basic statistical data.


  • Audits data on a regular basis to ensure data integrity and quality. Performs data reconciliations to identify data anomalies.


  • Assists with ongoing data architecture processes and governance.


  • Assists in preparation of compiling data to ensure accurate reporting requirements are being met.


  • Produces accurate and timely key data dashboards and reports and disseminates to appropriate staff.


  • Trains staff as needed on data operational activities.


  • Manages referral intakes, maintain master record keeping and distribution of referral assignments to ensure data quality for reporting purposes.


  • Assists with program screening and assessment, acquires all necessary documentation for an admission. Reviews clients files and addresses inquires.


  • Coordinates referral to other agencies or services, as needed.


  • Sorts and files documents and records, maintaining alphabetical, index and cross reference files, and analyzes and responds to applicant inquiries and documents files.


  • Maintains complete and accurate client master files and case notes according to KEYS requirements, in a timely manner; responsible for all other relevant client related documentation.


  • Maintains consistent accessibility to clients; by returning phone calls and emails, and scheduling appointments in a timely manner.


  • Adheres to all relevant operational and reporting requirements and standards of KEYS' grantors, affiliates, and partners.


  • Regularly reports customer progress to Programs Managers, KEYS Leadership, and others as requested.


  • Actively participates in departmental and/or organizational meetings, reviews, and conferences.


  • Perform other duties as assigned.



Associates degree or equivalent in data management, finance, social work, human services, behavioral science or related field.  Bachelor's degree preferred.  At least two years' experience in data management and/or human services. Demonstrated experience working in a community with disadvantaged individuals or those at high-risk for homelessness. Work experience with customers with substance/drug abuse or mental health issues is a strong plus.



Full-time non-exempt position. KEYS provides medical, dental, life and vision insurance options for all full-time employees.  Voluntary 403(b) plan offered.Employees are eligible for enrollment the first of the month following 30 days of continous employment.  Paid holidays, Vacation and Sick time.
